Reception + Mailroom

  • Supervise the schedules, placement, time off, training and HR related issues for Receptionist and Mailroom team throughout several buildings
  • Responsible for assigning workstations, coordination of receptionist schedules, front-line management of personnel issues
  • Conducts all interviews, selects new hires, and onboards new receptionist and mailroom clerks
  • Provide ongoing training to team to address specific needs to ensure smooth service is provided to the company and all those who visit our campuses. Training includes, but is not limited to: active shooter training, meal program training, equipment returns, guest receiving, new hire, interviewee meeting facilitation, creation of mailing labels, and handling corporate mail
  • Covers front desk for receptionists, when necessary, may visit each location daily to ensure receptionist can take time off for lunch
  • Conducts routine 1:1 with all team members, reviews and initiates changes to processes based of ENPS feedback
  • Conducts IDP’s and career development conversations and advocates for team members to be promoted within the company
    • Assign additional tasks to receptionist team members based on career and skill growth desires and opportunities.
    • Work with other department supervisors to create career path towards their department for team growth
  • Assists HR with pay scale market analysis to remain competitive in local market
  • Main liaison between departments and reception to implement or change procedures including but not limited to onboarding and building security

Meal program

  • Program management of Vivint Meal Program. Assist Facilities Senior Manager with the following:
    • Innovate with café vendor to maximize employee experience and offering in Café
    • Employee Meal ticket issue resolution
    • Receptionist Meal Tracking training
    • Employee and Vendor financial reconciling
    • Manage a spending and budget dashboard to review weekly with management team
    • Create and watch PO’s for all meal program vendors and manage invoices
    • Point of contact for all meal program vendors
    • Participate, research, and provide input on innovative projects

Perks

  • Own and manage the ongoing development and improvement of the Perks at Work program
  • Coordinate with branding, corporate communications, and other applicable internal departments to advertise perks in a meaningful way
  • Through sourcing employee feedback, continually refresh perks to provide the most desirable benefits to our employees
  • Build relationships and coordinate schedules for vendors to provide services to employees on-site for three Utah County campuses

Operations

  • Facilitate the collection of corporate nameplate orders, invoices, tracking, and distribution.
  • Coordinate the ordering and filling of hygiene products for employees for five corporate building offices

Required Skills, Experience & Education:

  • Basic understanding of Microsoft Office platforms
  • Basic analytic skills. Ability to build graphs and communicate data in a clear manner
  • High communication and problem solving skills
  • 2 Years in a similar field (reception, mailroom, building administration)
  • High school diploma or GED

Preferred Skills, Experience & Education:

  • People Management experience
  • Program Management experience

WORKING CONDITIONS:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
